Continual adaptations to paperless offices beg the question “Is it worthwhile to maintain a fax any more?” Please weigh in on this – with scanners and smart devices that can easily capture and transmit document data, it seems like the fax has become obsolete. And the cost is another factor. Your thoughts?

    Hi Janis,

Actually received this email just as I was scanning a dozen documents which I was able to send without a problem using my Android phone and the Genius Scan app. I looked at the list of recommended scanner apps we received from Beth Z. our keynote speaker at the annual conference. I have no need for a fax but when I did need one for a document earlier this year, I went to Staples and used their fax for a small fee.

I wouldn’t invest in a fax but I’ve heard other DMMs report that they can only send some documents via fax for security reasons. I can encrypt my scans if I choose and that is what I’m using now.

There is no need for a physical fax machine anymore. If you have a legal need for a fax, you can use an online service How to Send and Receive Faxes Online Without a Fax Machine or Phone Line or you can use other methods to substitute for a fax, as mentioned by Barbara and documented here How to Never Fax a Document Again

After trying several online fax services/apps, I bought a small stand alone fax machine for about $35. I already had a wired phone line so I didn’t have to incur any extra expense for that. I have found it more efficient to fax using the machine then through an app or service like e-fax.

I also personally feel that the direct fax is more secure than faxing via email or over the internet.
